How to choose janitorial bidding software for a small company
Start with the job you are hiring the software to do, not with the feature list. Most small commercial cleaning companies are in one of three situations.
- You lose bids on price or margin. You need accurate production rates and a proper labor burden: wages plus payroll taxes, workers comp and benefits. A bid-only tool with ISSA-style rates solves this for 20 to 40 USD a month.
- You win work but drown in admin. You need scheduling, time clock, inspections and invoices next to the bid. An all-in-one tool like CleanGuru costs more but replaces several spreadsheets.
- Your bids are fine but you do not have enough buildings to bid on. No bid calculator fixes that. You need a source of requests, and the bid tool should sit on top of it.
Then check four things in the trial. Can you enter your own production rates per area type? Does the tool show labor hours per visit, not only a price per square foot? Can you edit every number before the proposal goes out? Does the proposal look like something a property manager would forward to their boss?
CleanlyRun, the cheapest bid-only option
CleanlyRun bills 24.95 USD a month with no limit on the number of bids, after a 30-day trial that asks for a card up front. It is built for janitorial bidding and nothing else: you walk the building, enter the areas and frequencies, and it prints a proposal. It also includes a pre-bid walkthrough section and marketing material. There is no scheduling, invoicing or lead source. For an owner-operator who wins enough work and just wants to stop pricing in a spreadsheet, it is hard to beat on cost.
BidLoom, production rates and labor burden done properly
BidLoom lets you build 3 bids without paying, then charges 19 USD a month for 10 bids, 39 USD for the AI proposal writer and branded proposals, and 59 USD for unlimited bids and team access. Its strength is the math: ISSA 612 production rates and a full burden rate with FICA, FUTA, SUTA and workers comp by state. Like CleanlyRun, it stops at the proposal, so you still need another place to schedule crews and invoice.
CleanGuru, bidding plus the back office
CleanGuru is the best known name in the category. Basic is 79 USD a month for one service module and 5 users, Guru is 129 USD with all modules, QuickBooks connect and an inspection app, and Guru Plus is 159 USD with 15 users. Extra users are 5 USD each and every plan has a 14-day trial. You get bidding and proposals with auto follow-up, invoicing, scheduling and a mobile time clock. It does not bring you prospects. We compared it with our own product feature by feature on the CleanGuru alternative page, including where CleanGuru is the better pick.
Janitorial, bid pricing on top of a contract request feed
Janitorial is our product, so weigh this section accordingly. It is built for the case the other tools skip: you can price a bid perfectly and still have nothing to bid on. Offices, clinics, schools and property managers post cleaning jobs, and each request reaches the cleaning companies that cover that area with square footage, frequency, due date and a monthly price range already calculated by AI. You adjust the numbers, and the proposal builder turns them into a PDF with your logo the same evening.
Starter is 79 USD a month for one service area and up to 15 bid responses. Growth at 199 USD adds 3 areas, unlimited responses, the public-sector RFP feed and AI-drafted scope and schedule. Pro at 499 USD adds your own production rates, priority alerts and e-signature. There is no scheduling or invoicing, so many owners keep an operations tool next to it. See every plan on the pricing page.
Janitorial Manager and Swept, for when you have many buildings to run
Janitorial Manager and Swept are operations platforms more than bid tools. Janitorial Manager prices by scope and states that plans for small operations start at 1,000 USD a month, which puts it out of reach for most companies under 20 cleaners. Swept does not publish prices and focuses on scheduling, inspections, supply requests and team communication. Both make sense once you run dozens of accounts. Neither is the right first purchase if your problem is winning the first ten.
What bidding software does not do after the contract is signed
Every tool in this list stops at, or shortly after, the signed proposal. Monthly janitorial contracts then live or die on getting paid on time, and a 45-day late payment from one large building can wipe out a month of margin for a small company. CleanGuru sends recurring invoices. If you invoice from QuickBooks or another system and spend evenings chasing late payers, an accounts receivable automation tool can send the reminders by email and text for you. Keep that in mind when you compare the all-in-one price of CleanGuru with a cheaper bid-only tool plus separate billing.
Janitorial bidding software, common questions
What is the best janitorial bidding software for a small business?
For a small commercial cleaning business, the best janitorial bidding software prices from production rates and labor hours and costs less than one day of cleaning revenue a month. CleanlyRun and BidLoom are the cheapest bid-only tools, CleanGuru adds operations, and Janitorial adds contract requests to bid on. Pick by what you lack most.
How much does janitorial bidding software cost?
Janitorial bidding software costs from about 19 to 159 USD a month for small companies. CleanlyRun is 24.95 USD, BidLoom 19 to 59 USD, CleanGuru 79 to 159 USD and Janitorial 79 to 499 USD. Platforms for large multi-site operations, such as Janitorial Manager, are quote-based and start around 1,000 USD a month.
Is there janitorial bidding software with ISSA production rates?
Yes. BidLoom builds bids on ISSA 612 production rates with state labor burden, and CleanGuru uses preset production rates you can edit. Janitorial calculates labor hours from facility type and frequency and, on Pro, lets you load your own measured production rates per area type so the price reflects how your crews actually work.
Can bidding software also find cleaning contracts?
Most cannot. CleanGuru, CleanlyRun and BidLoom price and present bids for buildings you found yourself. Janitorial combines bid pricing with a feed of commercial cleaning contract requests from your service area, and Growth adds city, county and school district RFPs. That is the main difference to check if your calendar is not full.
Should I bid janitorial contracts in Excel instead?
A spreadsheet works for your first few bids, but it hides errors in labor burden and production rates and it does not produce a proposal buyers take seriously. Once you bid more than a couple of buildings a month, a 25 to 80 USD tool usually pays for itself with one contract priced correctly instead of too low.
