How the estimate is built

A cleaning bid is labor first. Everything else in the price is built on top of the hours your crew spends in the building, so the calculator starts there and works up in eight steps.

  1. 1 Production rate. How many square feet one worker cleans in one labor hour for this facility type. Open offices go fast, restrooms, exam rooms and locker rooms go slowly.
  2. 2 Labor hours per visit. Cleanable square footage divided by the production rate.
  3. 3 Crew size. The number of workers needed to finish inside a typical evening service window, so a large building gets a larger crew rather than one person working all night.
  4. 4 Time on site. Labor hours per visit divided by crew size.
  5. 5 Monthly labor hours. Labor hours per visit multiplied by visits per week and by the average number of weeks in a month, about 4.33.
  6. 6 Labor cost. Monthly labor hours multiplied by the wage level for the selected region, including payroll taxes and workers compensation.
  7. 7 Supplies and overhead. Supplies cover chemicals, liners and equipment wear, plus paper products when you add restocking. Overhead covers supervision, insurance, vehicles and office costs.
  8. 8 Margin. Your target margin is applied on top of total cost to reach the monthly contract price.

The monthly price divided by the square footage gives the price per square foot, the number buyers and competitors most often compare.

Production rates by facility type

The calculator uses general industry ranges for commercial cleaning. Real rates depend on how dense the space is, how many fixtures it has, the floor types and the condition of the building.

A worked labor calculation

Take a 20,000 sq ft office cleaned 5x per week at a production rate of 3,000 sq ft per labor hour. That is about 6.7 labor hours per visit. With a crew of two, time on site is about 3.3 hours. Monthly labor hours are 6.7 x 5 x 4.33, about 145 hours. From there the wage level for your region, supplies, overhead and margin turn hours into a monthly price.

How to read the result

The calculator does not give you a single number, it gives you a range.

  • Low: the price with a faster production rate and a thinner margin. Use it when the building is simple, the buyer is price driven and the site fits an existing route.
  • Target: the price at the middle of the production range and your target margin. This is where most bids should start.
  • High: the price with a slower production rate and a fuller margin. Use it when the building is dense, the scope is demanding or the buyer asks for premium service.

If the target price per square foot looks out of line with similar buildings in your area, check cleanable square footage and frequency first.

Why does the calculator show a low, target and high price?

Buildings of the same size vary in density, fixtures and condition, so the range shows where a realistic bid can land.

Does the calculator include supplies and overhead?

Yes. Supplies and overhead are separate lines on top of labor cost, and the restocking add-on includes paper products and soap when the buyer wants them in the price.

Is the calculated price a quote for the buyer?

No. It is an estimate for you to review. Walk the building, adjust the inputs to what you see and then send your price in a proposal.

What square footage can I enter?

Any cleanable area between 1,000 and 500,000 sq ft. Enter the area you actually clean, not the total leasable area.
